BOOKING TERMS & CONDITIONS
All bookings through this website and contractual terms concerning are with Nepal Inside Out Treks & Tours Pvt. Ltd., Kathmandu, Nepal.
These terms and conditions define the relationship between you, our client and us, your travel agency Nepal Inside Out Treks & Tours Pvt. Ltd.
The terms and conditions of all agreements made with our company shall be subject and governed by Nepalese law.
BOOKING A TRIP/BOOKING CONFIRMATION
A ‘Trip’ refers to any product itinerary or activities that you buy with us including Trekking, Tours, Travels, Expeditions, and/or other as mentioned on our website.
To book a place on a trip you must send or hand to the company a fully completed Booking Form and the requested deposit.
A booking is accepted and becomes final as soon as you receive our invoice as confirmation, usually within 3 working days after filling in the online booking form.
When your booking is confirmed it is implied and accepted that you have read and understood all of the booking conditions (which were provided to you prior to making your booking) and agree to abide by them.
If you want to make a change to your travel after you filled in the booking form, we will make the necessary changes. Additional costs may apply.
The company cannot be made liable for the consequences of any strikes, industrial actions, wars, riots, sickness, quarantine, government intervention, weather conditions or other force majeure in connection with this booking.
At the time of booking the trip, you pay a non-refundable deposit of 30% of the trip. For last minute trips this can be a different percentage and is mentioned on the quotation. This deposit is due within 5 days after the invoice date. As long as we didn`t receive your deposit, your booking is not final.
All payments can be done by wire transfer. The bank details for wire transfer will be provided on your invoice. Exchange costs and costs for the international money transfer are charged by your own bank and additional to your trip price.
The final payment, is due and should be done at least 4 weeks before arrival in Nepal. Failure to make such payment will make the booking voidable at the company`s absolute discretion.
Exceptionally, final payment on trekking, tours, climbing, expedition or any kind of trips in Nepal can be made cash upon arrival in Nepal. The management of Nepal Inside Out will have to agree on this explicitly and only at the time of booking.
Visa and international passport
You must carry a valid passport and have obtained the appropriate visas when traveling. Please ensure your passport is valid for 6 months beyond the duration of the trip.
Nepal Inside Out does not offer any insurance packages.
An adequate and valid travel insurance is compulsory for all our travelers. Your travel insurance must cover accidents, injury, illness and death medical expenses, including any related to pre-existing medical conditions, emergency repatriation (including helicopter rescue and air ambulance where applicable) and personal liability. We reserve the right to cancel or suspend your participation, with no right of refund, if you are unable to provide proof of insurance when requested.
We also recommends it covers trip cancellation, curtailment and loss of luggage and personal effects. You must carry proof of insurance with you and show it if requested by our employees.
We will not be liable if death occurs or any injury/health conditions/emotional or other conditions are suffered by the client during the trip.
Medical conditions & special requirements
You should notify us in writing at the time of booking of any medical conditions, physically challenged conditions or any other mental and or physical condition which may affect your fitness to travel.
Some trips may be unsuited for you due to age, mobility, pregnancy, physical or mental conditions or experience in case of adventurous or climbing trips. It is your responsibility to check before booking.
We will do our best to meet with special request, like diets, but they do not form a part of our contract.
Any cancellation must be made in writing and acknowledged by our agency. The date on which the request to cancel is received by our agency will determine the cancellation charge applicable.
Should a cancellation arise, the following charges will be applied:
I. No refunds will be made if you voluntarily leave a trip for any reason after the trip has begun. No refunds will be made for any accommodation, transport, sightseeing, meals or services not utilized.
II. Cancellation by the company of a trip will entitle you to a full refund of all sums paid unless cancellation is due to circumstances beyond the control of the company and further if such cancellation is covered under the travel insurance. No claim for compensation for loss of enjoyment of a trip/holiday or additional costs of the client will be paid.
III. Cancellation of any booking more than four weeks before the departure of the trip the amount of the deposit will be kept to cover the costs we made in the course of the preparation of your trip/trek. The rest of the sums paid will be returned to you as soon as practical possible.
V. Cancellation less than 28 days before departure will result in liability for or loss of 100% of the total cost of the trip.
You are strongly advised to take cancellation insurance at the time of making the booking.
FLIGHT DELAYS AND CHANGES IN THE ITINERARY
Please note that mountain adventures are always unpredictable. Bad weather in mountain regions can cause domestic flight delays.
In case of delayed domestic flights, we will organize departing city accommodation (Guest House) and food (Lunch & Breakfast) but not reimburse these accompanying costs. In case of delayed return flights, the client is responsible to bear all additional expenses including food and accommodation costs. If you wish to make an alternative arrangements such as helicopter flight to avoid flight delays, all additional costs would be your responsibility.
Moreover, the Travel Agency does not accept any responsibility for costs incurred as a result of missed international flight, but would assist to make alternative arrangements wherever possible.
Changes in itinerary
Please also note that while on the field, we may have to make some changes in the itinerary due to unforeseen circumstances.
The company and all of our guides will do their utmost to ensure that all of the travel aims are achieved. By handing/sending over the booking form you accept that the company, the group leader or the guides have the absolute authority to make decisions affecting an individual or any group of individuals on the grounds of their health, safety or well being.
Any complaints about any part of your trip should be made in writing to the group leader in case you booked a group tour. In case of an individual trip or trek, you write your complaint down and hand it over to your guide. If you are travelling without guide, you send a text message, e-mail or whats app message to the Manager of our company as soon as possible. Like this we can immediately search for an acceptable solution.
If you feel that your complaint has been unsatisfactorily dealt with during the trip, you must send a written notification of your complaint to the manager of the company within 28 days after the last day of your trip.
